Assistant Manager Corporate Administration and Procurement

Employment Type: Fixed Term Contract

Contract Duration: 10

About The Team You Are Joining

Reporting to the Regional Head, Corporate Services (RHCS) with dotted line to Regional Manager, ITS, the incumbent will be providing Administration and Procurement Support Services including handling telephone calls, conference rooms reservations, procuring food & beverages for IATA events and handling office supplies/stationaries for the region.

What Your Day Would Be Like

Maintain front desk (reception) area in a neat and representable fashion.

Receive visitors, delegates, suppliers and ensure they are properly directed to the appropriate team member and ensure establishing regular and positive relationships with visitors/customers as a first point of contact to the regional office.

Handle procurement requests for expenses (Requesting POs, Contracts and performing GR’s).

Assist in coordination of staff events and activities, meetings logistics, reservation of meeting rooms.

Coordinate all building and office maintenance issues while ensuring they are resolved timely and professionally.

Order office supplies, stationery and daily fruits while ensuring that the products and supplies are of high quality.

Ensure a clean, healthy and well-maintained working environment in the office.

Handle courier requests for all employees in the office and follow up with courier companies and customs for shipments clearances (when needed).

Receive and sign for freight, express and courier mail deliveries with proper logging and handling.

Provide support with other administrative duties as required by the manager including any required ad-hoc reports or assistance.

We would love to hear from you if

Bachelor’s degree in Business, Administration or related field.

Minimum Of 2 To 3 Years Of Relevant Experience.

Customer service experience, preferably at a front desk.

Must be resourceful and customer services oriented.

Excellent oral and written communication skill in both English and Arabic, knowledge of other languages is an asset.

Comfortable in dealing with people from a wide range of cultural backgrounds across all levels within the organization.

Must demonstrate initiative and ability to work independently and manage multiple tasks and activities simultaneously.

Must demonstrate high levels of integrity, professionalism, and confidentiality.

Strong computer skills, particularly with MS Word, Excel, PPT and Access.

Travel Required: 10%
